AMOSSHE National Conference 2024

Time, place and format

When is the conference?

The conference takes place from Wednesday 26 to Friday 28 June 2024. The first day (Wednesday) starts with lunch at 12:00 noon, and the first session starts at 13:00. The last session on Friday ends at 13:50, followed by lunch. See the conference programme.

Where is the conference taking place?

The conference takes place in person at the Crowne Plaza hotel in Glasgow, Scotland, UK. Find out more about the conference venue.

Will the sessions be live streamed or recorded?

No. As an in-person delegate you must attend the sessions you want to see. But the resources (presentations, handouts) from all the sessions will be available to all delegates after the conference.

Can I get the session presentations?

Yes. Register as a delegate to receive all the session resources (presentations, handouts). Even if you register for only one day of the conference, you’ll get the resources for the entire conference. Session resources will be shared with all delegates during the fortnight after the conference finishes.

Can I choose my sessions in advance?

Yes. Many sessions run consecutively, so you have a choice of what you want to attend. You can choose which sessions you want to attend in advance. This will help you navigate your way around the conference. Once a session room is full you may be refused entry, so it’s a good idea to choose your sessions in advance to make sure you get to the right room early and don’t miss out.

In advance of the conference we'll send you an email from our conference platform RD Mobile with a link to log in. To choose your sessions, log in to RD Mobile, then on the left-hand menu click Programme. You can add sessions to your personalised programme by clicking the calendar icon next to each session. To see your personalised schedule, click My Schedule.

How much does the conference cost?

You can find the prices for the conference here. There are different rates depending on whether you're a named AMOSSHE member, a non-member, or a corporate delegate.

What does a residential place include?

Residential places are for all three days of the conference, including accommodation for two nights at the conference venue with all meals, and all evening events.

Can I book a place for one or two days as a residential delegate?

Residential places are for the full three days of the conference only. You can book as a day delegate, however this doesn’t include accommodation. Day delegate places include lunch and refreshments on the day only. Day delegates can attend the evening events on 26 and 27 June for an extra charge. Find out more about the conference prices.

Will I get accommodation if I’m only attending for one or two days?

No. Day delegate places don’t include accommodation. Day delegate places include lunch and refreshments on the day only. Are discounted places available?

Yes. AMOSSHE wants colleagues from across the higher education student support sector to take part in the National Conference 2024, including those who have less opportunity to engage with an event of this kind. We want to help with the professional development of colleagues who are:

  • Starting on their Student Services leadership career (for example, early career professionals).
  • Working in circumstances that limit their opportunities for professional development (for example, those from small and specialist organisation where resources for professional development are tight).
  • From diverse backgrounds, who want to bring their perspectives and insights to the conference conversations and contribute to our network of Student Services leaders.

Two residential places are available for colleagues working in higher education support roles who might otherwise find it difficult to attend for £625 each (find out more).

The deadline to apply for the reduced fee places is Friday 26 April 2024.

I work for an AMOSSHE member organisation - can I get the member rate?

You can only get the member rate to attend the conference if you’re a named AMOSSHE member. Members need to log in to book the member rates.

Other employees of an AMOSSHE member organisation must pay the non-member rate. If you book at a member rate and you’re not a named AMOSSHE member, AMOSSHE will invoice you for the difference.

Who qualifies for the corporate rate?

Corporate rates apply to ensure a good mix of sector representatives at the conference. The rates apply to delegates working for corporate, for-profit organisations who are not AMOSSHE members. Corporate attendees are limited to two delegates per organisation per day. See the in-person conference prices.

Can I split my residential or three day booking between different people?

No. AMOSSHE doesn't accept changes of delegate for single days of a residential or three day booking. See our booking terms and conditions.

Can I attend the evening networking events only?

Yes. You can book to attend the evening networking events on Wednesday 26 and Thursday 27 June 2024, whether you're a day delegate or not. These events include a welcome drink and dinner. Book to attend here: Day delegate booking for the AMOSSHE National Conference 2024.

If you’ve booked as a residential delegate, the evening events are already included.

Can I get a refund if I cancel my place?

Yes, you can get a refund if you give enough notice. The amount of notice you need to give differs depending on whether you booked to attend the in-person or online conference.

If you cancel before:

  • Sunday 26 May 2024, you can get a full refund.
  • Between Monday 27 May and Thursday 13 June 2024, you can get a 50% refund.
  • On or after Friday 14 June 2024, you can’t get a refund.

I can no longer attend - can someone go in my place?

If you want to change a booked delegate for someone else, please contact the AMOSSHE National Office as soon as possible and email the details.

  • AMOSSHE will charge no fee for any delegate substitutions made before Sunday 26 May 2024.
  • AMOSSHE will charge a £40 administration fee for any delegate substitutions made between Monday 27 May and Thursday 13 June 2024.
  • AMOSSHE cannot permit substitutions after Friday 14 June 2024. If a substitute (or any unbooked) attendee attends the event on the day, AMOSSHE will charge the full booking fee for that attendee.

Logistics

Can I get a discount to stay extra nights?

No. AMOSSHE hasn't been able to negotiate reduced rates if you're staying extra nights at the Crowne Plaza Glasgow. Please contact the hotel directly (see the venue information) or look for alternative accommodation nearby.

Do you have an accommodation rate for a day delegate wanting to stay at the venue?

If you're not attending the conference as a residential delegate, you can’t stay at the Crowne Plaza Glasgow on 26 and 27 June 2024 because all the bedrooms are taken. You can look at other accommodation options available nearby here: Alternative accommodation. You'll need to book these directly with the hotels.

Is alternative accommodation available?

If you're not staying at the Crowne Plaza Glasgow as a residential delegate, there are plenty of other lovely places to stay while you're attending the conference. How do I get to the conference?

How can I network with fellow delegates before and during the conference?

AMOSSHE uses a platform called RD Mobile to host the conference programme, as well as delegate, speaker and sponsor details, and more. You can access this using an app or a web browser. About a week before the event we'll upload all delegates to the platform to enable you to connect with each other in advance, during, and after the event. If you agreed to share your information on the delegate list when you registered you'll be included this networking opportunity. Once you sign in to the platform you can change your preferences about whether others can contact you or not.

What should I wear?

The conference is a relaxed event designed for people to feel comfortable and prepared to network and learn from each other. We suggest casual / smart casual for the event but there's no dress code. For the gala dinner we encourage delegates to dress up a little more for the evening.

Questions for speakers

As a speaker, do I need to book as a delegate?

Each session leader and co-presenter must register as a conference delegate for at least the day on which their session takes place, unless AMOSSHE has told you otherwise. Unfortunately, AMOSSHE can’t contribute to your expenses (for example, travel, accommodation). The deadline to book your place is Friday 31 May 2024.

Which room is my session taking place in?

Sessions will be allocated to rooms in the conference venue during the weeks leading up to the event. To find which room you’re in, find your session in the programme here: conference programme, or find yourself in the speakers list and follow the links to your associated session. AMOSSHE may need to re-allocate rooms at short notice. If this happens we’ll tell you by email.

What equipment do you provide for me to deliver my session?

AMOSSHE will provide you with a laptop to run your presentation, a top table and chairs, and a microphone to use on the day. To ensure a good conference experience for delegates with hearing impairments, we'll ask you to use the microphones to deliver your session.

If you require printed documentation for your session, please make sure you bring this with you, as AMOSSHE is unable to print materials for you. And please let us know if you have any specific requirements for your session, or if there’s anything in particular about your session you may need help with.

If you want to use polling features during your session, we recommend using external platforms such as Mentimeter (you can get a free account).

When do you need my presentation?

To ensure a good conference experience for delegates with visual impairments, we share the event resources with them in advance so that they can use their reading assistance software. Please email your presentation to info@amosshe.org.uk as soon as possible, and no later than Friday 21 June 2024.

Please ensure that your presentation and other materials are clear, paying particular attention to the font size and contrast of the slides. If you intend to play videos, please notify us as soon as possible.

Questions for sponsors

What do I need to provide as a sponsor?

As a sponsor of the AMOSSHE National Conference 2024, please provide the following information to AMOSSHE for us to advertise and promote your organisation:

  • Information for your sponsor page on the conference platform, including your logo, a summary about your organisation, links to your videos on YouTube or Vimeo, and links to your social media accounts.
  • For in-person conference exhibitors, a title and summary of your 10 minute session, as well as a bio and photo for each of your session speakers.

If you're an in-person conference partner or exhibitor, your sponsorship package includes two residential delegates to attend the in-person conference in Glasgow.

What are the key dates for sponsors?

Here are your deadlines as a conference sponsor:

  • 17:00 on Friday 26 April 2024 – register your residential delegate (included as part of your sponsorship package) plus any other attendees. Book here: conference booking.
  • 17:00 on Friday 26 April 2024 (or as soon as possible) – information for your sponsor page on the event platform, and your session title and summary.
  • 17:00 on Friday 7 June 2024 – confirm the equipment you'll be bringing to the conference (see What can I bring for my exhibition stand?).
  • Friday 21 June 2024 – earliest date for your couriered materials to arrive at the conference venue (see Where do I send my conference materials and when can I do it?).
  • 12:00 (noon) on Wednesday 26 June 2024 – set up your exhibition stand. You can start setting up from 19:00 on Wednesday 25 June 2024.
  • 15:30 on Friday 28 June 2024 – take down your exhibition stand.
  • Monday 1 July 2024 – if you’re sending your equipment back by courier, please arrange for collection no later than this date.

How many colleagues can I bring to the conference?

If you're a conference partner or exhibitor, your sponsorship package includes two residential delegates to attend the in-person conference in Glasgow. If you're a virtual exhibitor your sponsorship package includes one virtual delegate to access the online conference platform.

You can book as many colleagues as you want to attend in addition to the people included in your sponsorship package.

However, we have a limited number of bedrooms at the hotel, and we’d like to ensure our members have first opportunity to book these, as we’ve already allocated a large number of bedrooms to sponsors at the conference.

So if you book your colleagues on as residential corporate delegates, they’ll join a waitlist for a corporate residential place (which is first come first served from our waitlist). We’ll then be in touch to confirm if we’re able offer a residential place.

Alternatively, you can book them on as non-residential delegates, and you can book for them to attend the evening events separately.

How much does it cost to bring extra people?

If you're an in-person conference partner or exhibitor, your sponsorship package includes two residential delegates to attend the in-person conference in Glasgow. If you're a virtual exhibitor your sponsorship package includes one virtual delegate to access the online conference platform.

    If you want extra people to attend, here are the prices:

    • Three days residential delegate – £1,050
    • Three days non-residential delegate – £840
    • Wednesday day delegate – £285
    • Thursday day delegate – £450
    • Friday day delegate – £285
    • Wednesday networking meal – £60
    • Thursday gala dinner – £80

    Why is there no exhibitor rate?

    It’s difficult for AMOSSHE and the hotel to know who are just exhibitors at the conference, rather than delegates. In previous years we found some exhibitors were attending delegate events and activities that they hadn’t paid to attend, which meant we needed to charge them after the event. To avoid the difficulty and time of this for our small AMOSSHE team, all attendees at the conference are delegates.

    How do I provide my session description?

    Exhibition package sponsors

    If you're an in-person conference exhibitor you can present a 10 minute session as part of the programme. This will take place in the presentation area outside the exhibition space during a break. It's an opportunity for you to showcase your organisation, products or services. We'll provide a screen and laptop to present your slides, plus a mic to present.

    We'll advise you when your session is taking place. Please provide a title and short summary of your session to include in the programme and encourage delegates to join you. Also, please send a photo and short bio of your presenter. Send these to info@amosshe.org.uk.

    Partnership package sponsors

    Due to the size of the exhibition area we have to be very strict with the space for each exhibitor, to ensure that the space is well managed and enjoyable for delegates and sponsors alike.

    The size of the space is 215 cm wide by 150 cm deep. AMOSSHE provides:

    • One six foot (183 cm wide) table.
    • Two chairs.
    • Two power points.

    Please let us know if there’s any equipment that you don’t want set up in your exhibition space.

    What can I bring for my exhibition stand?

    This really is up to you. As a partner or exhibitor you have an allocated stand size of 215 cm wide by 150 cm deep. AMOSSHE provides:

    • One six foot (183 cm wide) table.
    • Two chairs.
    • Two power points.

    You can have a simple setup with some information about your company, or you can have a more elaborate setup with equipment and freebies to give away. We have had both at our conferences for many years. The main thing is to take the time to chat to people!

    Please contact us if you want to remove anything from your stand area.

    If you’re intending to give anything away (freebies, gifts) we suggest that these are sustainable (recyclable, compostable, made of recycled materials) where possible, as our delegates will really appreciate that.

    Where do I send my conference materials and when can I do it?

    You can send your conference materials to the hotel to arrive no earlier than Friday 21 June 2024.

    Please add the following details to each of your boxes as well as the official courier label. This ensures that the hotel and AMOSSHE staff can identify your materials quickly when they arrive on site.

    For collection after the conference, your packages must be clearly labelled and ready for collection by the latest Monday 1 July 2024. All couriers need to be booked before the sponsor leaves the hotel premises.

    Can I request a screen for my exhibition stand?

    AMOSSHE can’t provide a TV screen for you, but we can put you in touch with the preferred AV supplier for the venue, which we will be using, and you can hire something directly from them. Please contact info@amosshe.org.uk.

    When can I set up my exhibitor stand?

    The hotel has told us that we can set up the exhibition area from 19:00 on Wednesday 25 June 2024. Please note that any equipment left in the exhibition area is not AMOSSHE’s responsibility. We can store expensive equipment in our staff room, but we cannot be held responsible if anything goes missing.

    When do I need to take down my exhibitor stand?

    You need to take down your stand by 15:30 on Friday 28 June 2024. If you’re sending your equipment back by courier, please ensure that your packages are clearly labelled and ready for collection by the latest Monday 1 July 2024.

    How do I choose my exhibition stand position?

    You can choose your stand position in the exhibition area. Each sponsor chooses in the order in which they signed up for a conference sponsorship package. We’ll send you an email with a copy of the exhibition plan and a tight deadline for letting us know which stand position you want. If you miss your deadline for response, we’ll send the plan to the next sponsor for them to choose. We need to do this so that we have time to get decisions from all our sponsors.
